Primary Objective
Structis Construction Solutions Group, LLC is looking for an organized and motivated Office Manager will oversee day-to-day administrative and financial functions for the Pensacola office, ensuring smooth operations and supporting both field and office personnel. This role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced construction environment.
Key Responsibilities
- Manage Accounts Payable, including three-way match of invoices, purchase orders, and receipts.
- Process credit card allocations and reconcile monthly statements.
- Create and maintain Schedules of Values (SOVs) for projects.
- Review contracts for billing and payment terms, ensuring compliance with company policies.
- Input and review daily production inventory for accuracy.
- Coordinate with HR on payroll processing and related employee matters.
- Prepare and submit billing using AIA documents and ensure timely invoicing.
- Provide administrative support to the Operations Manager as needed.
- Order and maintain office supplies, ensuring cost-effective purchasing.
- Arrange travel and hotel accommodations for field personnel.
Qualifications
- Prior experience in office management, administrative support, or accounting preferred (construction industry experience a plus).
- Proficiency with Microsoft Office Suite (Excel, Word, Outlook); experience with construction/accounting software highly desirable.
- Strong understanding of accounts payable, payroll coordination, and billing practices.
- Excellent communication, organizational, and problem-solving skills.
- Ability to handle sensitive information with discretion and maintain confidentiality.
